1. Our Commitment to Your Privacy
PlanBase Technologies Inc. (“PlanBase”, “we”, “us”, “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, share, and protect your personal information when you access or use the PlanBase website (the “Site”) and all related software-as-a-service applications and services designed for Canadian financial advisors and planners (collectively, the “Services”).
By accessing or using the Site or Services, you consent to the collection and use of your personal information as described here. If you disagree, please do not use the Site or Services. Questions? Contact our privacy officer using the information at the end of this document.
2. Information We Collect
2.1 Personal Information You Provide
We collect personal information you voluntarily provide when you register, subscribe, or interact with us, including:
- First and last name
- Email address and phone number
- Company or organization name (e.g., advisory firm or planning practice)
- Job title and professional credentials (e.g., CFP, CFA, PFP)
- Billing address and province
- Payment information (processed securely through Stripe)
- Account credentials
- Any information provided through support inquiries or feedback
2.2 Information Collected Through Service Use
When you use the Services, we may collect information related to your usage activity, including features used, financial planning workflows created, actions taken, configuration settings, and usage patterns. Any financial data or client information you input remains your data; we process it solely on your behalf.
2.3 Automatically Collected Information
We automatically collect: IP address, browser type and version, operating system, referring URLs, date/time/duration of visits, device identifiers, and geographic location (country or city level) via cookies and similar technologies.
3. How We Use Your Personal Information
- To provide, operate, and maintain the Services, including processing subscriptions and managing your account
- To process payments and manage billing
- To communicate with you, including customer support and service-related notifications
- To improve and personalize the Site and Services, including features relevant to financial advisors and planners
- To comply with legal obligations and protect the rights, property, or safety of PlanBase, our users, or others
- To send promotional communications where you have separately opted in (you may opt out at any time)
- To detect, prevent, and address fraud, security issues, and technical problems
4. How We Share Your Personal Information
We will not sell, trade, or rent your personal information. We may share it only in these limited circumstances:
Service Providers: We share information with providers such as Stripe (payments), cloud hosting, email services, and analytics tools. All are contractually bound to confidentiality.
Legal Requirements: We will not release your information to authorities unless required by law, search warrant, court order, or subpoena.
Business Transfers: In the event of a merger or acquisition, your information may be transferred. We will notify you of any such change.
With Your Consent: We may share your information for other purposes with your explicit consent.
5. Data Retention
PlanBase retains your personal information only for as long as necessary to fulfill the purposes for which it was collected, including to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion at any time by contacting us.
6. Payment Processing and Stripe
All payment transactions are processed securely through Stripe, Inc. PlanBase does not store your full payment card details. Stripe's privacy policy is available at stripe.com/privacy. All data is stored on servers located in Canada. We comply with PCI DSS standards.
7. Security of Your Personal Information
We use TLS encryption (256-bit or higher) for all data in transit. Client data is stored on servers located in Canada. Access within our systems is limited to authorized PlanBase personnel. While we implement commercially reasonable security measures, no Internet transmission is completely secure.
8. Cookies and Tracking Technologies
We use three types of cookies:
- Essential Cookies: Necessary for the Site and Services to function properly
- Analytics Cookies: Help us understand how visitors interact with the Site
- Preference Cookies: Remember your settings to personalize your experience
You may manage cookie preferences through your browser settings. Disabling cookies may affect certain features.
9. Anti-Spam Compliance (CASL)
PlanBase complies with Canada's Anti-Spam Legislation (CASL). We will not send commercial electronic messages (CEMs) without your express or implied consent as required by CASL.
By creating an account or subscribing to the Services, you consent to receive transactional and service-related electronic communications from PlanBase, including account notifications, billing confirmations, security alerts, and support messages. These are necessary for operation of the Services and cannot be opted out of while your account is active.
Where you have separately opted in, we may send promotional or marketing communications. You may withdraw consent to marketing at any time by clicking “unsubscribe” in any marketing email, adjusting your notification preferences in your account settings, or contacting us at privacy@planbase.ca. Withdrawal does not affect transactional messages or your ability to use the Services.
We maintain records of all consents in accordance with CASL requirements. If you believe you received a communication in error, please contact us immediately.
10. Third-Party Services
The Site and Services integrate with:
- Payment Processing: Stripe, Inc.
- Analytics: Such as Google Analytics
- Hosting: Cloud infrastructure providers with servers located in Canada
Your interactions with these services are subject to their own terms and privacy policies.
11. Your Rights and Choices
- Access: Request a copy of the personal information we hold about you
- Correction: Request correction of inaccurate or incomplete information

12. Canadian Privacy Legislation (PIPEDA and Provincial Law)
PlanBase is committed to compliance with PIPEDA and applicable provincial privacy legislation, including Quebec's Act respecting the protection of personal information in the private sector (Law 25 / Bill 64). You have the right to access your personal information, challenge its accuracy, and withdraw consent, subject to legal or contractual restrictions.
Complaints unresolved by our privacy officer may be filed with the Office of the Privacy Commissioner of Canada or the applicable provincial privacy commissioner.
13. Financial Industry Considerations
- End-client data: Any financial data relating to your clients that you enter into the platform remains your data, subject to your professional obligations under applicable securities, financial planning, and privacy legislation.
- Regulatory compliance: You are responsible for ensuring your use of PlanBase complies with requirements imposed by CIRO, the FP Canada Standards Council, and applicable provincial regulators.
- PlanBase does not provide financial, investment, tax, or legal advice. The platform is a productivity and planning tool only.
14. Children's Privacy
The Site and Services are not directed to individuals under the age of majority. We do not knowingly collect personal information from minors.
15. Links to Other Websites
The Site may contain links to third-party websites. We are not responsible for their privacy practices. A link does not constitute endorsement by PlanBase.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or a prominent notice on the Site with a revised “Last Updated” date. Continued use after changes constitutes acceptance.
